Privacy Policy

How Ayremin LLC collects, uses, shares, and protects personal information.

Ayremin LLC (“Ayremin,” “we,” “us,” or “our”) provides a real estate brokerage management platform, including website, admin tools, APIs, and related services (collectively, the “Services”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have. By using the Services, you agree to the practices described in this Policy. If you disagree, please do not use the Services.

1. Information We Collect

Information you provide

  • Account and profile information: name, email address, phone number, username, password, professional credentials (e.g., license number, NRDS ID), brokerage affiliation, and profile images.
  • Content you upload: listings, agent bios, images, documents, contracts, vendor information, and other content you submit to the Services.
  • Communications: messages sent through contact forms, email, chat, or other channels, and any information included in those communications.
  • Billing information (if applicable): we do not process payment cards directly; payment details are handled by our payment processor, and we retain only limited billing records (e.g., plan, invoice history).

Information collected automatically

  • Device and log data: IP address, browser type and version, operating system, referring/exit pages, timestamps, and actions taken within the Services.
  • Cookies and similar technologies: as described in the “Cookies” section below.
  • Approximate location: derived from IP address, or precise location if you grant browser permission for geolocation features.

Information from third parties

  • Identity providers: if you sign in with Google or another identity provider, we receive the profile fields you authorize (e.g., name, email, account ID).
  • Service providers and integrations: analytics, email delivery, MLS feeds, mapping, and similar services that support the platform.

2. How We Use Information

We use personal information to:

  • Provide, operate, maintain, and improve the Services.
  • Create and manage accounts, authenticate users, and protect account security.
  • Process transactions and send related administrative communications (confirmations, receipts, renewal notices).
  • Respond to inquiries, provide support, and send service-related announcements.
  • Detect, investigate, and prevent fraud, abuse, and security incidents.
  • Analyze usage and performance to improve features, reliability, and user experience.
  • Send marketing communications where permitted, subject to your opt-out rights.
  • Comply with legal obligations and enforce our Terms & Conditions.

3. Cookies and Similar Technologies

We use cookies, local storage, and similar technologies to keep you signed in, remember preferences, measure traffic, and secure the Services. Cookies fall into the following categories:

  • Strictly necessary: required for login, session management, and core security.
  • Functional: remember preferences and enhance usability.
  • Analytics: help us understand how the Services are used (e.g., Google Analytics).

You can control cookies through your browser settings, and you can opt out of certain analytics cookies through the provider’s opt-out tools. Blocking strictly-necessary cookies may prevent parts of the Services from working properly.

We also use Google reCAPTCHA to help prevent abuse. Your use of reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.

4. How We Share Information

We do not sell personal information for money. We share information only as described below:

  • Service providers / sub-processors: hosting, email delivery, analytics, error monitoring, payment processing, and similar vendors acting on our behalf under contractual confidentiality and data-protection obligations.
  • Within your organization: administrators and users of your brokerage may access content and activity within their organization’s account.
  • Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, personal information may be transferred as a business asset, subject to this Policy.
  • Legal and safety: to comply with law, legal process, or enforceable governmental requests; to enforce our agreements; or to protect the rights, property, or safety of Ayremin, our users, or others.
  • With your consent or at your direction.

Depending on the law of your state, the sharing described above may or may not be considered a “sale” or “sharing for targeted advertising.” See the “Your Rights” section below for how to exercise opt-out rights.

5. Data Retention

We keep personal information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, enforce agreements, and maintain business records. When information is no longer needed, we delete, anonymize, or securely archive it.

6. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including TLS encryption in transit, encryption at rest for sensitive credentials, access controls, device fingerprinting, audit logging, firewalling, and continuous monitoring. No system is perfectly secure, and we cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately.

7. Your Privacy Rights

California residents (CCPA/CPRA)

California residents have the right to:

  • Know what personal information we collect, use, disclose, and (if applicable) sell or share.
  • Access the specific pieces of personal information we have about you.
  • Delete personal information we have collected from you, subject to exceptions.
  • Correct inaccurate personal information.
  • Opt out of the sale or sharing of personal information for cross-context behavioral advertising.
  • Limit the use and disclosure of sensitive personal information.
  • Non-discrimination for exercising these rights.

To exercise these rights, contact us. We will verify your request before acting on it. You may use an authorized agent, subject to verification.

Other US state residents

Residents of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws generally have rights to access, correct, delete, and obtain a copy of their personal information, as well as the right to opt out of targeted advertising, sale, and certain profiling. You may exercise these rights by contacting us. If we decline your request, you may appeal by replying to our response.

EEA, UK, and Switzerland (GDPR / UK GDPR / FADP)

If you are located in the European Economic Area, United Kingdom, or Switzerland, you have the right to access, rectify, erase, restrict processing of, port, and object to the processing of your personal data. You also have the right to withdraw consent (where processing is based on consent) and to lodge a complaint with your supervisory authority. Our legal bases for processing include contract performance, legitimate interests, consent, and legal obligation, as applicable to each processing activity.

8. International Data Transfers

Ayremin is based in the United States, and we process personal information in the US. If you access the Services from outside the US, your information will be transferred to and processed in the US, which may have different data-protection laws than your country. Where required, we rely on appropriate safeguards such as the EU-US Data Privacy Framework (and the UK Extension and Swiss-US Data Privacy Framework), Standard Contractual Clauses, or other lawful transfer mechanisms.

9. Children’s Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

10. Do Not Track

Some browsers offer a “Do Not Track” signal. Because there is no consistent industry standard for interpreting these signals, we do not currently respond to them. You can still exercise the opt-out rights described above.

11. Marketing Communications and CAN-SPAM

We comply with the CAN-SPAM Act. Our marketing emails identify the sender, include our business address, and provide an unsubscribe link. You can opt out of marketing emails at any time by clicking the unsubscribe link or by contacting us. We will continue to send transactional and service-related messages (e.g., security alerts, billing).

12. Third-Party Links and Services

The Services may link to third-party websites and services, such as MLS feeds, mapping providers, or AI tools, that operate under their own privacy policies. We are not responsible for the privacy practices of those third parties. Please review their policies before providing information to them.

13. Data Breach Response

If we confirm a security incident affecting your personal information, we will notify affected individuals and regulators as required by applicable law, without unreasonable delay.

14. Changes to This Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice (e.g., email or in-product notice). Your continued use of the Services after the effective date constitutes acceptance of the updated Policy.
